Training Administrative Assistant

VitalSmarts is seeking an Administrative Assistant to our Client Delivery and Employee Development Team. Qualified applicants will possess excellent organizational skills, the ability to multi-task, be detail oriented, a self starter, and have an enthusiasm for excellence in their work.

Education/Experience

2-5 Years of administrative assistant experience required
High school diploma

Reporting Structure

The Training Administrative Assistant will report directly to the Senior Director of Client Delivery, Employee Development. The Training Administrative Assistant will have no direct reports.

Qualifications

Qualified applicants will possess excellent organizational skills, the ability to multi-task, be detail oriented, a self starter, and have an enthusiasm for excellence in their work. Must be able to handle many projects at once and effectively deal with people to achieve optimal outcomes. Skills in Microsoft Office and excellent phone etiquette required. Excellent interpersonal communication and customer service skills are required.

Duties/Responsibilities

The duties and responsibilities of the Training Administrative Assistant will include, but are not limited to:

  • Administrative duties including: scheduling appointments, compiling reports, taking meeting minutes and reporting on action items, and various tasks as needed by the Client Delivery and Employee Development Team
  • Presenter support, including: managing presenters' calendars and working with Sales team and clients on logistical support for presenter events.
  • Respond to Master Trainer requests (content, logistics, material needs, policies, etc)
  • Manage all aspects of non-profit trainings as needed; includes publicizing, scheduling, participants, materials, refreshments, communications, costs, etc.
  • Support Master Trainer Certification process, including: receiving and logging all new Trainer Agreements and Trainer Evaluations, updates Trainer status and contact information in VitalSmarts database, answering incoming trainer questions about certification requirements, communicating with trainer candidates.
  • Support HR function, including: preparing materials, organizing trainings and events, processing paperwork.
