Corporate Events Manager

VitalSmarts is seeking a full-time Corporate Events Manager.

Primary Duties:

The Marketing Corporate Events Manager position is responsible for planning and implementing programs and activities in these key marketing areas:

  • Tradeshows
  • Web Seminars
  • Executive Briefings
  • Special Events

Job Responsibilities:

  • Manage annual events calendar (tradeshows, Web seminars, executive briefings, special events, etc.)
  • Coordinate and execute message/offer strategy for each show, clearly document processes and responsibilities
  • Manage all logistics and on-site event details (contracts, catering, A/V needs, etc.)
  • Manage staffing plan for events as needed, including all travel logistics and program details
  • Develop internal marketing communications (memos, FAQs, message scripts, etc.) and train event staff
  • Coordinate with Online Marketing Specialist on all event e-mail campaigns
  • Coordinate with Creative Services on all event-related collateral and art
  • Plan and execute promo plan surrounding events as needed (i.e. direct mail and advertising)
  • Troubleshoot event issues as they arise, report back frequently, and propose timely solutions to stakeholders to prevent future problems
  • Manage all event vendors; ensure performance is meeting VitalSmarts' standards (i.e. Web seminar, tradeshow, and event vendors)
  • Assist in developing new content and offers for Web seminars
  • Coordinate event moderation for Web seminars
  • Work with Operations to ensure timely and quality customer service for event registrants
  • Coordinate delivery of on-site materials to events, as needed
  • Work with Business Development, Sales, and external partners to fill seats at events, as needed
  • Manage all associate event-related concerns and inquiries
  • Assist with other Company-owned events as needed (i.e. Company parties, conferences, etc.)
  • Travel as required to fulfill job responsibilities (travel may include weekends and evenings)

Scheduling and Tracking:

  • Track all event metrics, including budget, actual expenses, leads collected, cost per lead, event attendance, ROI, etc.
  • Ensure smooth hand-off of all leads
  • Track and deliver event scorecard data to stakeholders in a timely, consistent manner
  • Manage event listings on VitalSmarts Web sites, making sure listings are up-to-date
  • Occasionally schedule meetings/conference calls
  • Track speaker's bureau lead conversion and report to speaker/IP team on a quarterly basis

Requirements:

  1. Minimum 5 years of corporate event planning experience required
  2. Bachelor's degree in marketing or business preferred
  3. Excellent written and oral communications skills
  4. Strong business acumen
  5. Strong computer skills with proficiency in MS Excel, Word, PowerPoint, and Outlook
  6. Ability to self-start with strong sense of urgency to complete projects and meet deadlines
  7. Ability to manage multiple tasks, adapt to changing priorities, navigate corporate culture
  8. Ability to assess needs of the team and translate into actionable solutions
  9. Strong team/collaborative skills
  10. Effective interpersonal skills necessary to interface with multiple teams and clients
  11. Comfortable in fast-paced, matrix-managed organization
